APPOINTMENTS

Appointments are cancelled if:



  • You are late for your appointment. We do not offer any grace periods for appointments.
  • Any required document is missing, incomplete, or otherwise deemed invalid.
  • Your vehicle does not meet our vehicle condition requirements (see "Vehicle Condition" listed below).



*If you are turned away for any reason, your appointment will be voided and you will need to reschedule your appointment for another day or sign in as a walk in.

REQUIRED DOCUMENTS

Note: Additional documents may be required if you are shipping your vehicle to a foreign country or U.S. Territory. We advise all service members to check the Personal Property Consignment Information Guide (PPCIG) for requirements specific to your destination country.

***Name's on ALL documents and ID MUST match (Orders, Registration, Title, etc.), including Suffixes (Jr., Sr., etc.)***




 POV Shipment Counseling Worksheet

  • This document is issued by your branches transportation office and is specific to the State of Hawaii.
  • This is required for all service members shipping to an alternate VPC- You want it to ship to a VPC that is not closest to their next duty station or home of record/place of enlistment.
  • This document must be signed and dated by a counselor from your transportation office.
  • This document is also required if you are not currently stationed in Hawaii, but would still like to ship your vehicle from the Honolulu VPC.

Orders

  • One complete set of orders. Including all amendments, modifications and extensions if applicable.
  • If your orders do not authorize a POV shipment from Honolulu, you may need to provide additional documentation. See below Customs Clearance Letter section for more*
  • Shipments to foreign countries or U.S. Territories may require additional documents. Please check the PPCIG for specific instructions and requirements.
  • If you are separating and your Orders do not specify your home of record AND place of enlistment, we will require additional documentation (i.e. DD214, Soldier Talent Profile, Page 2, Enlistment contract, etc.)

Registration

  • Registration must be current.
  • Service member’s name and/or their dependent(s) must be on the registration.
  • You will need a lienholder authorization letter if there is a lienholder listed on your registration (see "Lienholder Authorization Letter" below).
  • You will need to provide a lease agreement and a lienholder authorization letter if you are leasing your vehicle.

Vehicle Title

  • The vehicle title is required if there is no lienholder listed on the registration.
  • The title must be "clean". No additional writing can be on the title.
  • We will require the front and back of the title.

Lienholder Authorization Letter

  • This letter must have the bank's letterhead on it.
  • The bank's contact information must be listed.
  • The vehicle VIN, make, model, and year must be listed on the letter.
  • The letter must state that the bank gives the service member or dependent permission to remove their vehicle from the State of Hawaii.
  • This document is also a mandatory requirement if you are shipping your vehicle to a foreign country or US Territory. Also, lien letter may need to be notarized (depending on destination country).

Temporary Registration

  • Temporary registration must be valid and have an expiration date listed. If there is no expiration date present, it will be assumed that the expiration date is 31 days after the issue date.
  • You will need to provide the sales agreement and a lienholder authorization letter if you are shipping your vehicle using a temporary registration.
  • These requirements also apply if the vehicle is leased.

Joint Permission Letter

  • Required if there are two or more names listed on the registration and/or title.
  • Required if only the dependent's name is listed on the registration and/or title.

Vehicle Recalls

  • Service members must provide documented proof that there are no open recalls for the vehicle they are shipping. Visit https://www.nhtsa.gov/recalls for recall information. A screenshot from the website showing no open recalls is also acceptable.
  • If status is “Recall incomplete. Remedy not yet available.” no further action is needed.
  • If status is “Recall incomplete." Vehicle must be taken in for servicing to address the recall. A letter or invoice from the dealership or auto shop stating recall has been addressed will be accepted. The letter or invoice will also need to have the companies contact information, the year, make, model, and VIN of the vehicle listed, the recall number, the date the recall was performed and a signature from the mechanic or representative from the company.

Power of Attorney (POA)

  • Required if the service member is not able to drop-off or pick-up the vehicle at the VPC. All POA documents must be notarized.

Customs Clearance Letter

  • Required for all vehicles being shipped to a foreign country or U.S. Territory.
  • The Customs Clearance Letter is provided by your branches transportation office.

Storage Authorization Letter

  • This is required if you are placing your vehicle in storage.
  • The Storage Authorization Letter is provided by your branches transportation office.



Vehicle Condition

All vehicles must meet the following conditions:



  • Fuel must be a ¼ tank or less.
  • Electric vehicles must be at 75% charge or higher at the time of drop-off. Electric vehicles will also need to be shipped with their charging cables and adapters.
  • A complete set of keys must be provided when turning in the vehicle. This includes ignition keys, door keys, trunk keys, gas cap key and wheel lock.
  • Keys and key fobs must be in good condition. We cannot accept fobs with taped cases, cracked cases, missing buttons, or otherwise damaged condition.
  • Emergency brake and standard brakes must be operational.
  • No fluids can be leaking.
  • The interior and exterior of the vehicle must be clean.
  • If the vehicle has wheel locks, the wheel lock key must be provided or the wheel locks must be removed prior to vehicle turn-in.
  • No air tags, or any tracking devices, dash cameras or household goods can be shipped in your vehicle. It must be removed prior to shipment.
  • Aftermarket items must be hard-mounted to the vehicle or they will need to be removed from the vehicle prior to shipping.
  • All compartments must be accessible. Locking gas caps and tool chests must be unlocked prior to shipment or a key to unlock them must be provided.
  • Vehicles that exceed 20 measurement tons (MT) are considered oversized or “out of gauge” and you may be charged by the government for exceeding your entitlement allowance.

Note: Any item that is required to maintain or operate your vehicle may be shipped with it, if it can fit in the cardboard box provided. The box dimensions are 24" x 16" x 16". Please contact the VPC if you have any additional questions regarding what you may ship in or on your vehicle. Certain items or modifications may make your vehicle ineligible to be shipped.
